Administrative Assistant II
Full-time: Monday-Friday during business hours.
The Administrative Assistant II supports the Plant Operations department, and is responsible for invoices, inventory, ordering supplies, and reporting. They also assist in receiving calls from residents and employees requesting maintenance work to be done in the community.

Principle Duties:
Receives and codes plant operations invoices via the invoice system.
Invoices residents and other departments for work orders.
Keeps an accurate inventory of plant operations supplies and equipment, tracks use of and orders supplies as needed. Ensures an adequate supply of all maintenance materials is stocked and available when needed.
Clearly labels, stores, and organizes all maintenance supplies
Maintains rapport with vendors and ensures that pricing for supplies and equipment is the best that can be obtained, to maintain budgetary requirements. Researches pricing for supplies and equipment, and secures the best prices on an ongoing basis. Keeps the Plant Operations Director informed of price increases and changes in product lines.
Completes monthly and quarterly plant operations reports including QI/QA, comment cards, SDGE usage, and others.
Helps administer the Safety Program, including tracking accident-free days, and creating and posting flyers.
Accepting calls from residents and employees for work orders & other assistance, displaying good judgment and excellent telephone etiquette.
Returning calls within one business day; timeline is provided as to when work will be completed.
Entering work orders into the system accurately and completed by the end of the business day.
Engraves resident and employee name badges.
Maintains a high level of customer service for residents, guests, and other departments.
Performs other duties as assigned by the director
Performs quality inspections for turnovers.
Qualifications:
At least three years' experience as an administrative assistant, preferably in the plant operations department in a retirement and/or healthcare setting
Strong phone skills
Strong written and verbal communication skills
Excellent customer service skills
Excellent organizational skills
Works cooperatively with peers and is a team player.
Strong computer knowledge, including Microsoft Word, Excel, and Outlook. Knowledge of Access a plus.
High School graduate/GED
