The Human Resources Assistant maintains employee personnel files, coordinates new hire orientations, and assists the Human Resources Director with various administrative needs and projects as needed.
GENERAL SUMMARY:
The Human Resources Assistant maintains employee personnel files, onboards new hires, coordinates and conducts new hire orientations, and assists the Human Resources Director with administrative support and projects as needed.
PRINCIPLE DUTIES:
- Enters and maintains employee data through the Human Resource Information System (HRIS). Inputs status, rate changes and other payroll related changes into HRIS. As needed, uses the HRIS to generate a variety of useful employee data reports.
- Maintains employee personnel files, Form I-9s, and other HR documentation.
- Tracks work permits for employees under the age of 18 years old and initiates background checks when they turn 18.
- Coordinates and conducts New Hire Orientations that foster a positive first impression of the company.
- Conducts pre-screening activities including reviewing applications, telephone screening and in-person screening. Communicates and coordinates with hiring managers regarding candidates. At times, may also perform reference checks for hiring managers.
- Researches and responds to employee questions relating to HR policies and procedures.
- Works with rest of human resources team in coordinating activities which include employee events, Employee of the Month/Quarter/Year program and other employee activities.
- Assists in capturing monthly hire and termination data for management reports.
- Assists the human resources team with various administrative needs and projects as needed, such as the monthly employee newsletter.
QUALIFICATIONS:
- 1-3 years of human resources experience preferred.
- Experience with HRIS (specifically ADP WorkForce Now), ability to multitask, and experience performing general office duties.
- Experience with Microsoft Word and Excel.
- Must display a friendly, courteous and helpful attitude toward the Residents, other employees, and the public.
- Ability to communicate effectively in English and able to perform simple mathematics.
- Bilingual in Spanish is preferred.
- HR education and/or certificate is a plus.
